The Manager, Library Services for the University of Louisville will supervise the daily desk and backroom operations of the Access and User Services department, including managing circulation/access functions, scheduling department staff, and oversee services during department hours (including serving as emergency contact and shift back-up during night and weekend shifts).
This position will report to, and coordinate with, the Access Services Librarian to create department policies, procedures, training, and customer service goals. They will oversee the daily functions of the public service desks of Ekstrom Library– to ensure consistent and positive patron interactions. They will maintain comprehensive knowledge of relevant university and campus information, library policies, building procedures for emergency situations, and any questions that patrons may potentially ask. The overarching purpose of the position is to ensure access to high-quality library resources and services in order to advance student success and support the research mission of the university.
Essential Duties and Responsibilities
Coordinate desk schedules, standardize training, and implement the Access Services Librarian’s daily operational vision for the department by providing leadership to the department staff and student assistants. Serve as point of contact for night and weekend staff and be available during those hours as needed; work occasional night or weekend shifts as assigned.
Oversee the department’s physical environment, including desk materials, backroom organization, etc.
Directly supervise the following staff: Student Assistant Supervisor, Evening Coordinator, Course Reserve Specialist, Stacks Supervisor, and the portion of OLT Technology Desk staff assigned to AUS.
Indirectly supervise the student assistants as the daytime backup for scheduling, desk coverage, shift needs, and other related matters.
Monitor unit expenditures, including working directly with the Student Assistant Supervisor to oversee the student assistant budget (approx. $120,000 per fiscal year).
Maintain a comprehensive knowledge of Ekstrom Library’s policies and services and respond to users’ questions regarding them. Maintain the department’s policy and procedure document (AUS Manual), by reviewing it regularly and updating it to reflect current departmental directives and policy changes.
Manage the collection of statistical data on the department’s activities, submit data as appropriate and prepare reports as needed. Oversee the staff responsible for AUS LibInsight data collection, management, and usage ensuring accuracy, consistency, and proper collation by both staff and student assistants.
Oversee collection use as it relates to patron holds, reserves, claims return, and other interactions, and support users’ requests for new materials. Work with relevant departments (Library Admin, Technical Services, etc.) to ensure the smooth delivery of these functions.
Oversee all AUS webpages for uniformity, accuracy, and design aesthetics. Ensure compliance with accessibility standards. Work with Webmaster to handle technical aspects of updating AUS webpages. Serve as primary AUS web designer and liaison for changes to the department’s pages.
Serve as the AUS emergency coordinator. Maintain thorough understanding of building policies and procedures and ensure staff are consistently trained to respond effectively. Serve as primary contact for any patron or building-related issues reported at the desk and prepare and organize incident reports for the department as needed. Represent the department as its B.E.A.P representative. Collaborate with Access Services Librarian/Library Administration on matters involving building hours, safety, weather-related responses, security, or other operational issues as the arise.
Work on-site five days per week. Daily work hours may vary and remain flexible to meet departmental needs.
Serve as the primary point of contact for AUS and building-related issues during all hours that Ekstrom Library is open. This position also serves as the main backup for night, weekend, and emergency shifts assigned by the Access Services Librarian. Remote work is not eligible for this role.
Preferred Qualifications
5-8 years of customer service experience
3-5 years of supervisory, management, or leadership experience

Compensation will be commensurate to candidate experience.
