OVERVIEW

Reporting to VP, Solution Design, the Digital Librarian is responsible for the organization, governance, accessibility, and optimization of the organization’s digital knowledge assets. This role ensures that digital content, including documents, data, records, media, and archived materials are structured, searchable, secure, and aligned with enterprise information management standards.


Working cross-functionally with Technology, Communications, Legal, Operations, and Business teams, the Digital Librarian develops and maintains digital classification systems, metadata standards, retention schedules, and knowledge-sharing frameworks that enable efficient information retrieval and long-term preservation.


RESPONSIBILITIES

Digital Asset Management & Governance

  • Assist with the implementation of an information architecture system for digital files, metadata schemas, and taxonomy frameworks.
  • Provide administrative support with digital repositories, document management systems, and content platforms to ensure accurate indexing and accessibility.
  • Understand and follow digital records retention and archival policies in compliance with legal and regulatory requirements.
  • Help digitization initiatives, converting physical records into searchable digital formats.

 

Knowledge Management & Accessibility

  • Provide input on the design of knowledge management systems to improve discoverability and usability of digital content.
  • Implement standards and best practices for document naming conventions, tagging, version control, and content lifecycle management.
  • Partner with internal teams to ensure content is structured for both human and system-based retrieval (e.g., search engines, AI tools).
  • Support enterprise search optimization and continuous improvement of digital content accessibility.

 

Technology & Systems Collaboration

  • Collaborate with IT and Technology teams to manage digital library platforms, intranets, and content management systems.
  • Share ideas to improve digital asset management, search functionality, and automation.
  • Support integration of digital knowledge systems with collaboration platforms (e.g., SharePoint, Confluence, Google Workspace).
  • Ensure digital security protocols and access controls align with organizational data governance standards.

 

Training & Stakeholder Support

  • Give input on employee training on digital information management best practices and share knowledge about information architecture, metadata standards, and knowledge organization.
  • Help develop user guides and materials to support effective system use.
  • Respond to information requests and assist users in locating and accessing digital resources.


Continuous Improvement & Innovation

  • Research trends in digital librarianship, information science, and AI-driven search technologies, suggesting opportunities to improve efficiency through automation, AI-assisted tagging, or content intelligence tools.


QUALIFICATIONS

Education

  • Enrolled in or recently graduated with a post secondary education/Bachelor’s degree in Library and Information Science, Information Management, Digital Curation, or a related field.
  • An equivalent combination of education, and experiences may be considered.

 

Experience

  • Knowledge in digital librarianship, records management, knowledge management, or digital asset management.
  • Experience working with enterprise content management (ECM) systems or digital repositories.
  • Understanding of metadata standards (e.g., Dublin Core), taxonomy development, and information architecture.
  • Exposure to digital preservation practices and retention policies.
  • Familiarity with collaboration platforms such as SharePoint, Confluence, or similar tools.


Knowledge/Competencies/Skills

  • Strong organizational and analytical skills with high attention to detail.
  • Ability to design structured information systems that balance usability and governance.
  • Knowledge of data privacy regulations and information security best practices.
  • Excellent communication skills and ability to train non-technical stakeholders.
  • Experience leveraging AI tools or automated classification systems is an asset.
  • Ability to manage multiple initiatives and work cross-functionally.
  • Preference will be given to candidates with a strong understanding of artificial intelligence (AI) concepts and the ability to communicate and apply AI technologies effectively within a business context.

 

WORKING CONDITIONS

  • All CM employees work 40 hours per week, remotely from a Canadian home office environment.


PAY TRANSPARENCY 

Expected Compensation: 

  • A salary of $14,700 for the 4-month term.
  • The salary listed complies with the Ontario Employment Standards Act and reflects working full-time hours.
