Salary for the candidate will be determined taking into consideration a number of factors including: experience, skills, qualifications, anticipated contribution to role, internal equity, etc. The salary range presented below is based on a 35-hour workweek and would represent a majority of different candidate profiles. However, we encourage candidates who may fall outside of this range to apply as well.

Salary range (but not limited to):

About the role

We’re looking for an Administrative Support II – Archivist (Document Management) to join our growing team!

This is a temporary contract for nine months.

The selected candidate will participate in various activities related to document management and digitization, such as analyzing and processing paper documents and electronic files, with a view to their digitization and indexing in our database. Due to the nature of the work, the person will be working on-site only.

What you will accomplish with us:

  • Perform various administrative tasks such as sorting and preparing paper documents for digitization.

  • Digitize, index and classify various documents in archiving systems.

  • Manage the flow of electronic files received by email, in our databases and directories.

  • Understand the nature of documents, apply standards and policies for the retention and destruction of paper and electronic documents.

  • Provide technical support on the use of our databases to internal customers.

  • Occasionally participate in certain physical activities (analysis, listing and filing of boxes) at our local warehouse where the boxes of documents to keep are catalogued.

What you will bring:

  • College diploma in documentation or archival techniques and at least two years of relevant experience. Any combination of training and experience deemed equivalent may be considered.

  • Excellent customer service and relationship building skills.

  • Proficiency with computers, particularly MS Office (Word, Excel and PowerPoint).

  • Ability to collaborate closely with others as part of a diverse in-person team.

  • Ability to apply established procedures with thoroughness and rigour.

  • Strong organizational skills and ability to effectively manage workflow without continuous supervision.

  • Bilingualism (English-French), written and spoken. You will regularly work with colleagues from across the country.

  • Good data entry skills.

  • Be in good physical condition as you must be able to occasionally lift boxes weighing an average of 25 to 35 lbs.

  • No Canadian work experience is required; however, you must be eligible to work in Canada.
